Planning an event comes with a lot of questions. We’ve put together answers to some of the things we’re asked most often – from booking and payments to music, setup, venue requirements, insurance, and what to expect leading up to your event.
This page is designed to answer common questions and help you understand how Stonebriar Entertainment Group operates before and after booking. It is not intended to replace your consultation, planning meetings, or conversations with your DJ. Every event is different, and we’re always happy to talk through your specific venue, timeline, music, budget, and vision.
Getting started, securing your date, and building your package.
If you’re interested in booking, we’ll need some information about your event before we can properly build your service agreement.
Weddings: Complete our Wedding Booking Form .
All Other Events: Complete our Event Booking Form .
Once we have the necessary information, our team can prepare the appropriate services, pricing, and contract for your event.
Your date is not secured until the required deposit or retainer has been received.
Signing the agreement without submitting the required deposit does not hold the event date. We strongly recommend completing both as soon as you’re ready to move forward, especially for popular wedding and event dates.
No. Deposits and retainers are non-refundable because reserving your event date removes that date from availability for other potential clients.
Cancellation and rescheduling terms are outlined in your service agreement and may affect any additional payments or remaining balance.
We certainly try. Every event and budget is different, and our team does its best to structure services around your needs whenever reasonably possible.
Pricing depends on several factors, including your event date, location, venue logistics, guest count, hours of coverage, equipment requirements, travel, and the services you’re requesting.
If you have a budget in mind, let us know. Depending on the event, we may be able to mix and match services, adjust a package, or move things around to build an option that better fits what you’re trying to spend.
Don’t automatically assume we’re outside your budget – ask us what we can do.
Yes. Our listed packages are starting points and make it easier to compare popular combinations of services, but we understand that one package may not fit every event.
Tell us what you want, what you don’t need, and what budget you’re trying to stay within. When possible, we’ll help move services around, combine options, or build a custom package around your priorities.
Promotions and discounts may be available throughout the year. Offers can vary based on the month, event date, location, package, services requested, and availability.
Ask us about current monthly promotions or available discounts when requesting your quote.
Yes. Stonebriar Entertainment Group travels for weddings, private events, corporate events, competitions, festivals, and other events.
Travel-related pricing depends on location, equipment requirements, travel time, accommodations when necessary, and other event-specific logistics.
Playlists, genres, requests, and who will be behind the booth.
No – and we don’t expect you to do the DJ’s job.
You do not need to build a complete playlist for your wedding. That’s part of what you’re hiring us for. Our DJs use your preferences, must-plays, do-not-plays, guest response, and what’s happening on the dance floor to build the night.
That said, sharing songs or a playlist with us can be extremely helpful because it gives your DJ a better understanding of your musical taste and the overall vibe you’re looking for.
We accept playlists and song ideas from essentially any major music platform. If you already have a Spotify, Apple Music, YouTube, Amazon Music, or other playlist, send us the link.
You can also provide a written list of songs, artists, genres, must-plays, or songs you absolutely do not want played.
Our DJs play across genres and are accustomed to working with diverse crowds. Weddings especially can move through several generations, cultures, and styles of music throughout one evening.
We also believe in being transparent. If your event is heavily focused on a genre, culture, or style that your assigned DJ does not regularly specialize in, we’ll communicate that. We may ask for a playlist, sample songs, artists, or additional direction so we can properly understand the sound and energy you’re looking for.
Generally, yes. Your DJ may take guest requests as long as they fit your music preferences, do-not-play instructions, the atmosphere of the event, and the direction the dance floor is moving.
A request is never a guarantee that a song will be played. Your DJ’s priority is your preferences and the overall success of the event.
Yes. We have multiple DJs on staff, but you will know who is assigned to your event.
We do not randomly surprise you with a different DJ on the day of your event. An assignment would normally change only because of illness, an emergency, or another unforeseen circumstance.
If a change becomes necessary, our team will communicate with you and work to provide an appropriate replacement.
Yes. DJ and MC services are included with our standard wedding entertainment packages unless your agreement states otherwise.
Your DJ can assist with introductions, formal dances, toasts, cake cutting, special announcements, dance floor transitions, and keeping the event moving according to the agreed timeline.
What we need from you before the big day.
Yes. All of our wedding couples are required to complete our Wedding Music & Planning Questionnaire together.
The questionnaire covers the information your DJ needs to prepare for your ceremony and reception, including music, formalities, introductions, special dances, timeline details, important names, and other event information.
The completed questionnaire must be submitted no later than two weeks – 14 days – before your wedding date.
We send access to the questionnaire after booking so you have plenty of time to work on it. As your wedding approaches, we may also send one or more reminders if it has not yet been completed.
Please don’t wait until the last minute. Your DJ uses this information to prepare music, names, announcements, formalities, equipment needs, and the flow of your wedding.
Yes. For weddings, we strongly encourage a final planning conversation with your DJ once your questionnaire has been completed.
This gives everyone an opportunity to review the timeline, pronunciations, music selections, special moments, venue details, and any last-minute questions before the wedding.
Absolutely. We regularly communicate with planners, coordinators, venue teams, photographers, videographers, and other vendors to help the event flow smoothly.
We recommend identifying in advance who is authorized to make day-of timeline or music decisions so your DJ knows who to communicate with if a change is needed.
Yes. Upon request, your DJ can generally provide an audio output for your videographer to connect to our sound system.
We recommend that the videographer coordinate with the DJ before the ceremony or reception begins so there is time to determine the appropriate connection and test their recording equipment.
The videographer is responsible for providing any recording equipment, adapters, cables, or devices required on their end.
Arrival times, access, DJ placement, power, and backup equipment.
Our team typically plans to arrive approximately 2-3 hours before the scheduled event start time so we can unload, set up, test the system, and be completely ready before guests need us.
We require adequate uninterrupted setup access. While some simpler setups can physically be completed in approximately 1.5 hours, we plan for at least 2 hours of setup access so there is enough time to unload, build, test, troubleshoot, and prepare without rushing.
Larger packages and specialty setups may require additional time.
A professional event setup involves considerably more than plugging in two speakers. Depending on your package, we may be installing multiple sound systems, wireless microphones, subwoofers, lighting, moving heads, video displays, photo booths, special effects, or dance floors.
We also need time for cable management, safety checks, sound testing, wireless microphone testing, lighting checks, and coordination with your venue and other vendors.
Setup and breakdown times can increase because of venue logistics or the services included in your package.
Whenever possible, the DJ should be located in front of or near the dance floor.
Your DJ needs to see the room, communicate with guests, perform MC duties, watch the dance floor, and respond to the crowd. Placing the DJ in another room, behind a wall, or far away from the dance floor can significantly affect our ability to properly perform those duties.
Please tell us about stairs, elevators, ramps, long load-in distances, or other access restrictions before the event.
Some of our DJ booths and larger equipment cannot safely be transported up or down stairs. If an accessible ramp or elevator is not available, we may need to modify the setup, use alternate equipment, add personnel, or charge additional labor depending on the circumstances.
Yes. Redundancy is extremely important to us.
We come prepared with backup equipment and contingency options because electronics can fail regardless of how well they are maintained.
We also maintain music in multiple locations and formats. If a primary piece of equipment or music source experiences an unexpected problem, our goal is to switch to a backup with minimal to no interruption to your event.
At minimum, we need reasonable access to the venue, adequate setup space, and safe electrical service appropriate for the contracted equipment.
Larger production packages or specialty services may have additional electrical, space, placement, or access requirements. We can coordinate those details with the venue when needed.
Texas heat, outdoor receptions, rain, and equipment protection.
Yes, but you must notify us in advance if any portion of your event – especially the reception – will be outdoors.
Outdoor events can require different equipment, additional planning, weather protection, power considerations, and equipment capable of operating safely in the expected conditions.
An additional outdoor-event fee may apply depending on the setup, season, location, equipment required, and expected weather conditions.
There may be. Texas heat places additional demands on professional audio, lighting, computers, and other electronic equipment.
Outdoor receptions during summer months or when temperatures are expected to reach approximately 90°F or higher may require additional or weather-appropriate equipment, cooling considerations, alternate equipment, or other accommodations.
Any applicable fee depends on the specific event and setup. Please make sure the outdoor location is disclosed when requesting your quote and completing your event information.
Safety comes first. Electronic equipment cannot be operated in unsafe weather conditions or exposed to rain, severe wind, lightning, or other conditions that could endanger guests, staff, or equipment.
Stonebriar Entertainment Group reserves the right to pause, relocate, modify, or stop service when weather conditions make continued operation unsafe.
Weather-related situations are handled according to the terms of your signed service agreement. We will communicate with you and your venue whenever possible to determine reasonable alternatives.
Payment methods, due dates, transaction fees, and late balances.
We accept multiple forms of payment, including:
Transaction or processing fees may apply to certain payment methods, including card payments.
Your exact payment schedule and final balance due date are listed in your service agreement and/or invoice.
Please refer to those documents rather than assuming the balance can be paid on the event date.
Late fees may apply when a final balance is more than 3 days past due unless payment arrangements or an extension have been communicated with and approved by our Accounts Payable department.
If you know there may be an issue making a payment by the due date, please communicate with us before allowing the invoice to become significantly past due.

Certificates of Insurance, venue policies, and special restrictions.
Yes. Stonebriar Entertainment Group carries insurance, and we can provide a Certificate of Insurance when required by you or your venue.
Certificate requests can be submitted directly through our online request portal.
We follow reasonable venue rules and restrictions. Some venues limit sound levels, fog, haze, cold sparks, open flames, rigging, electrical usage, equipment placement, load-in times, or other production elements.
If your venue has special requirements, please send them to us as early as possible. Venue restrictions may affect which services or equipment can be used.
Clients are responsible for damage to Stonebriar Entertainment Group equipment caused by the client or their guests during the event.
Please help keep drinks, children, guests, and unauthorized individuals away from DJ equipment, cables, speakers, lighting, computers, and other production equipment.
What happens when plans change after you’ve booked.
Contact us as soon as you know the date may need to change. Under our standard agreement, clients may request a new date within one year of the original event date, subject to our availability.
If we’re available, payments already received can generally be applied to the rescheduled event in accordance with your agreement. Changes in package pricing, travel costs, venue logistics, or other event expenses may affect the final price.
If we are unavailable for the requested new date, the cancellation provisions of your signed agreement apply.
Cancellation must be submitted in writing in accordance with your service agreement. Once received, Stonebriar Entertainment Group will provide written acknowledgment of the cancellation.
Deposits and retainers are non-refundable. Additional amounts due or previously paid depend on the timing of the cancellation and the terms of your signed agreement.
Under our standard service agreement, cancellations occurring within 180 days – approximately 6 months – of the scheduled event date are subject to the liquidated damages provisions of the agreement.
The standard agreement provides that the client is responsible for 100% of the remaining contract balance when cancellation occurs within that period, except where otherwise provided by the agreement or applicable law.
Please review your individual signed agreement for the terms that specifically apply to your event.
Timeline changes, overtime, vendor communication, and what to expect.
Yes. Events don’t always run exactly according to the original timeline, and our DJs are accustomed to making reasonable adjustments.
Whenever possible, changes should come from the couple, planner/coordinator, or another person the couple has specifically authorized to make event-day decisions.
Your DJ will communicate with the appropriate people so that music, announcements, and formalities can be adjusted without creating unnecessary confusion.
Often, yes – subject to venue rules, staff availability, local restrictions, and the terms of your package.
Additional charges may apply for service beyond the contracted end time or for events continuing past midnight. If you think you may want additional time, ask us in advance so we can discuss the available options.
Professional equipment is maintained and tested, but any electronic device can experience an unexpected failure. That’s why we plan for redundancy.
We carry backup equipment and maintain multiple options for accessing music. Our goal is to resolve an equipment issue quickly and keep any interruption to an absolute minimum.
Yes. Vendor communication is an important part of keeping an event running smoothly.
Before announcing a first dance, cake cutting, bouquet toss, grand exit, or another major moment, we’ll make reasonable efforts to ensure the appropriate vendors are ready so they don’t miss it.
Photo booth options, event photos, video, and media.
Yes. We offer digital photo booth options as well as packages and upgrades that include on-site printing.
Availability, print quantity, print format, backdrop options, and other features depend on the package or photo booth service selected.
Our team may capture photos or short video clips during events for Stonebriar Entertainment Group’s portfolio, website, promotional materials, and social media.
Photo booth content may also be retained and used as provided in the applicable service agreement.
If your event has privacy restrictions or there is a specific reason content cannot be publicly shared, please discuss that with us before the event so any necessary written arrangements can be made.
That’s exactly what consultations are for. This page is here to give you a head start – not replace a conversation. Tell us about your date, venue, vision, budget, music, and the services you’re considering, and we’ll help you figure out what makes sense for your event.
